Many Australian organisations are now being asked to prove they have multi-factor authentication, secure backups, endpoint protection, admin controls, patching, and incident response plans in place before cover is approved or renewed.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The problem is not usually that nothing has been done. The problem is that the evidence is scattered across Microsoft 365, devices, policies, spreadsheets, and the memory of whoever last touched the system.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What a Microsoft 365 tenant actually is<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Your Microsoft 365 tenant is your company\u2019s cloud workspace. It holds your users, email, Teams, SharePoint files, OneDrive data, security settings, device management, licences, and access rules.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Think of it as the digital building your staff walk into every day. A cyber insurance review is asking whether the doors lock, whether visitors are checked, whether the alarm works, whether important records are backed up, and whether someone is watching for suspicious activity.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The technology behind this is identity and access control. Microsoft Entra ID, previously known as Azure Active Directory, decides who can sign in, from where, using which device, and under what conditions. Microsoft Intune, which manages and secures company devices, helps prove that laptops and phones meet your security rules before they access company data.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Microsoft Defender, which detects and helps stop threats across email, devices, identities, and cloud apps, provides security monitoring. Tools like Wiz, which gives visibility across cloud security risks, can help organisations with Azure workloads demonstrate that cloud environments are not quietly exposed.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Why insurers are asking harder questions<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Cyber insurance has changed. A few years ago, many forms asked broad yes or no questions. Now, insurers increasingly want detail because ransomware, business email compromise, and data theft claims have become expensive.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For a 150-person business, one compromised Microsoft 365 account can lead to fake invoice fraud, stolen customer data, legal costs, business interruption, and reputational damage. The insurer wants to know whether your setup makes that scenario less likely.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">In Australia, many of these questions also line up with the Essential 8, the Australian government\u2019s cybersecurity framework that many organisations now use as a baseline. The Essential 8 covers areas such as multi-factor authentication, patching, restricting admin access, application control, macro controls, user application hardening, and regular backups.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you have already read our guide on 10 Microsoft 365 security settings to check now, this article takes the next step: turning good security settings into an evidence pack that can support an insurance review.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Start with the questions insurers usually care about<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Cyber insurance reviews vary by insurer, industry, revenue, and the type of data you hold. But for Microsoft 365, the questions usually fall into a few familiar areas.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n <li>Is multi-factor authentication enabled for all users, especially administrators?<\/li>\n <li>Are risky sign-ins blocked or challenged?<\/li>\n <li>Are administrator accounts separate from everyday user accounts?<\/li>\n <li>Are staff devices managed, encrypted, and patched?<\/li>\n <li>Is email protected against phishing and malicious attachments?<\/li>\n <li>Are backups tested and separate from Microsoft 365 permissions?<\/li>\n <li>Are logs retained long enough to investigate an incident?<\/li>\n <li>Is there an incident response plan that people can actually follow?<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">The trap is answering \u201cyes\u201d too quickly. If the insurer asks for proof after an incident, vague answers can create problems. You want to answer based on evidence, not hope.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">1. Prove multi-factor authentication is enforced properly<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Multi-factor authentication, or MFA, means users need more than a password to sign in. For example, they may need to approve a sign-in using Microsoft Authenticator on their phone.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Many organisations believe MFA is fully enabled, but the details tell a different story. We often see old admin accounts excluded, service accounts with no controls, or legacy sign-in methods that bypass modern protections.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For a cyber insurance review, you should be able to show that MFA applies to all users, all administrators, remote access, and key business applications. You should also understand any exclusions and why they exist.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Conditional Access, which is Microsoft\u2019s policy engine for controlling sign-ins, is usually the right way to manage this. It can require MFA, block high-risk sign-ins, restrict access from unknown locations, and require trusted devices for sensitive systems.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">We covered this in more detail in our Conditional Access checklist for Microsoft 365 tenants. For insurance readiness, the key is not just having policies. It is documenting what they do and testing that they work.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">2. Lock down administrator access<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Administrator accounts are the master keys to your Microsoft 365 environment. If one is compromised, an attacker may be able to create new users, change security settings, access mailboxes, or hide their tracks.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A common issue in 50\u2013500 person businesses is admin sprawl. Too many people have Global Administrator rights, which is the highest level of access in Microsoft 365, and some of them use those accounts for normal email and Teams work.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That is risky. Your insurance review may ask whether privileged access is restricted, reviewed, and protected with stronger controls.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Practical steps include reducing the number of Global Administrators, creating separate admin accounts, using role-based access, and requiring phishing-resistant MFA where possible. Phishing-resistant MFA means sign-in methods that are harder for attackers to trick users into approving, such as hardware security keys or device-bound authentication.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Business outcome: fewer master keys means fewer ways for an attacker to take over your environment.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">3. Get your devices under control<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Microsoft 365 security is not just about cloud settings. If staff are accessing company email and files from unmanaged laptops, old home computers, or mobile phones with no security controls, the insurer may see that as a gap.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Microsoft Intune, which manages and secures laptops, desktops, tablets, and phones, helps you prove that devices meet minimum standards. This can include encryption, screen locks, security updates, antivirus protection, and the ability to remove company data from lost or stolen devices.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For businesses using Microsoft 365 Business Premium or enterprise licensing, Intune and Microsoft Defender for Endpoint can provide a strong foundation. Defender for Endpoint is Microsoft\u2019s device threat detection tool, designed to identify suspicious activity on computers and servers.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A practical insurance-ready position is simple: company data should only be accessed from devices that are known, secured, and monitored.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">4. Prepare evidence for email and phishing protection<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Business email compromise is one of the most common and costly incidents for Australian organisations. It often starts with a stolen password, a fake Microsoft sign-in page, or a malicious attachment.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Your insurer may ask what you do to reduce phishing risk. Microsoft Defender for Office 365 can help by scanning links, attachments, and suspicious emails before users interact with them.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">But again, the review is about proof. You should be able to show which anti-phishing policies are enabled, whether external sender warnings are in place, whether mailbox forwarding is controlled, and whether users receive security awareness training.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A 200-person business we reviewed had MFA enabled, but attackers were still using hidden mailbox forwarding rules to redirect invoices. The fix was not expensive. We tightened forwarding controls, added alerting, reviewed mailbox rules, and gave finance staff a clear process for payment change requests.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The outcome was practical: less fraud risk without slowing the business down.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">5. Check backups before you are asked about them<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Many leaders assume Microsoft automatically backs up everything in Microsoft 365 in the way an insurer expects. Microsoft provides resilience and retention features, but that is not the same as a tested, independent backup and recovery plan.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Insurers may ask whether backups are regular, protected from deletion, tested, and separated from normal administrator access. They may also ask how quickly you can restore email, files, SharePoint sites, or critical business data.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Your answer should include recovery testing. A backup that has never been restored is an assumption, not a control.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For Essential 8 alignment, regular backups are a major control because they help businesses recover from ransomware and destructive attacks. For cyber insurance, they also show that an incident is less likely to become a business-ending event.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">6. Use Secure Score, but do not rely on it alone<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Microsoft Secure Score is a dashboard inside Microsoft Defender that measures your security posture and suggests improvements. In plain English, it is a security to-do list with a score attached.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It is useful because it gives leaders a visible benchmark and helps prioritise improvements. But it is not a complete insurance answer by itself.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Some recommendations may not fit your business. Some important controls may sit outside Microsoft 365, such as backup products, incident response procedures, or cloud infrastructure risks in Azure. You do not need a 100-page document. You need clear, current proof that your controls exist and are being maintained.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A practical Microsoft 365 cyber insurance evidence pack should include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n <li>A summary of MFA and Conditional Access policies.<\/li>\n <li>A list of administrator accounts and their roles.<\/li>\n <li>Evidence that devices are managed through Intune or another device management platform.<\/li>\n <li>Defender security settings for email, endpoints, and identities.<\/li>\n <li>Backup scope, frequency, retention, and recent restore test results.<\/li>\n <li>Security awareness training records.<\/li>\n <li>Incident response contacts and escalation steps.<\/li>\n <li>Recent Microsoft Secure Score summary and remediation plan.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">This also helps your broker. Clear evidence can reduce back-and-forth, avoid rushed answers, and make your organisation look controlled and prepared.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Do not wait until the renewal deadline<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The worst time to fix Microsoft 365 security is the week before the insurance form is due. Some changes, such as enforcing MFA or enrolling devices into Intune, need planning so staff are not locked out or disrupted.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Start with a gap review. Compare what the insurer is asking against what is actually configured in Microsoft 365. Then prioritise the controls that reduce the most risk: MFA, admin access, device compliance, backups, email protection, and logging.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you are an Australian organisation, map the same work to the Essential 8 where possible.
