It is the process around it.<\/p>\n\n\n\n<!--more-->\n\n\n\n<p class=\"wp-block-paragraph\">At a high level, Microsoft 365 Copilot listens through the meeting transcript, identifies discussion points, and uses artificial intelligence to suggest summaries, decisions and follow-up actions. The recap can save people from replaying recordings or comparing handwritten notes, but it should be treated as a starting point rather than an approved business record.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Why a good meeting recap is not enough<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Copilot can identify that someone offered to prepare a proposal. It cannot always know whether that comment was a firm commitment, an early suggestion or something later overruled by the group.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">It also cannot create accountability unless your business has agreed where tasks belong, who confirms them and how overdue work is escalated. Without those rules, meeting recaps become another collection of documents that people stop reading.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Consider an illustrative 200-person professional services company with 30 managers. If those managers collectively spend 30 hours each week reconstructing decisions, chasing task owners and checking multiple meeting notes, that represents 1,560 hours a year. At an average loaded cost of $100 per hour, the administrative cost is around $156,000 before counting delayed projects or missed client commitments.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">How the Microsoft 365 meeting technology works<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Microsoft Teams first converts the spoken meeting into a transcript, which is a written record of the conversation. Copilot and intelligent recap can then analyse that transcript to identify topics, questions, decisions and possible action items.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Depending on your licensing and configuration, the wider meeting experience can include a recording, transcript, AI-generated recap and collaborative notes. Facilitator, Microsoft\u2019s shared AI meeting assistant, can also capture notes and help track the agenda while participants are talking.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Collaborative notes are powered by Microsoft Loop, which provides shared content that updates wherever it is displayed. A task list added to those notes can remain synchronised with Microsoft Planner, the task-management tool in Microsoft 365, and assigned work can appear in each employee\u2019s task view.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This is useful, but it creates several different information objects: the recording, transcript, recap, Copilot conversation, collaborative notes and Planner tasks. Each may have different permissions, storage locations and retention settings. Governance is what keeps that collection manageable.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">A five-part governance playbook<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">1. Classify the meeting before it starts<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Not every meeting should be recorded, transcribed or processed by AI. A weekly project update carries different risks from a board discussion, employee performance meeting or conversation containing customer financial information.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Create three or four simple meeting categories that employees can understand. For example:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Standard:<\/strong> Routine operational meetings where transcription and recaps are normally allowed.<\/li>\n<li><strong>Confidential:<\/strong> Meetings containing commercially sensitive information, with tighter access and download controls.<\/li>\n<li><strong>Restricted:<\/strong> Board, legal, security incident or sensitive employee discussions where Copilot, transcription or recording may require approval.<\/li>\n<li><strong>External:<\/strong> Meetings with clients, suppliers or partners where notification, consent and sharing rules must be clear.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Microsoft Purview sensitivity labels, which mark and protect information according to its level of sensitivity, can help enforce appropriate meeting settings. Teams meeting templates can then give employees approved options instead of expecting every organiser to configure security correctly.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">2. Decide what will be captured and retained<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">A recording should not be kept forever simply because storage is available. Every meeting category needs an agreed approach for recording, transcription, Copilot use, access and deletion.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Ask practical questions. Does the business need the full recording, or is an approved decision log sufficient? Who can download the transcript? Should external attendees have access after the meeting? How long must the information remain available for operational, legal or regulatory reasons?<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Microsoft Purview retention policies can automatically retain or delete meeting and Copilot content according to organisational rules. Review these policies alongside newer AI archive settings, because deleting a visible transcript may not always be the only factor determining how long AI tools can use meeting information.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Australian organisations should also consider whether transcripts contain personal information and how the Australian Privacy Principles apply. The Essential Eight, the Australian Government\u2019s cybersecurity framework that many organisations use as a baseline, does not replace privacy and records governance. It supports the foundation through controls such as multi-factor authentication and restricted administrative access.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">3. Make human confirmation mandatory<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">AI-generated recaps can misunderstand names, deadlines, qualifications and context. A person who says, \u201cI could review that next week,\u201d may incorrectly appear to have accepted a formal task.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Nominate a meeting owner who must review the recap after important meetings. That person should confirm four things:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>What was actually decided<\/li>\n<li>Which actions were approved<\/li>\n<li>Who owns each action<\/li>\n<li>When each action is due<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">This review does not need to become a long administrative exercise. For most operational meetings, five minutes at the end to read back the decisions and actions will prevent far more time being wasted later.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">4. Move actions into one system of record<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">An action item buried in a recap is still only a sentence. Accountable work needs an owner, due date, status and agreed place where progress is tracked.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Choose one task system for each team or project. For many Microsoft 365 environments, that will be Planner. Smaller personal actions may appear in Microsoft To Do, while complex projects may require a dedicated project-management or service-management platform.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The important rule is that the meeting recap is not the final task register. Confirmed actions should be transferred or synchronised into the approved system before the meeting is considered complete.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Use a consistent task format such as:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Action:<\/strong> Prepare the revised customer proposal<\/li>\n<li><strong>Owner:<\/strong> Named employee, not a department<\/li>\n<li><strong>Due date:<\/strong> A specific date<\/li>\n<li><strong>Outcome:<\/strong> Proposal approved and sent to the customer<\/li>\n<li><strong>Source:<\/strong> Link to the relevant meeting or decision record<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">5. Measure whether meetings create outcomes<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">Copilot adoption should not be measured only by licence activation or the number of recaps generated. Those figures show usage, not business value.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Track a small set of useful indicators instead: the percentage of actions with an owner and due date, overdue action rates, time spent preparing minutes, repeated decisions and the number of meetings where sensitive content was captured incorrectly.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">A monthly sample of meeting records can reveal whether people are following the process. It can also identify training problems, unnecessary recording and teams that need a simpler workflow.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Protect the data behind the recap<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Copilot works with information that employees are already permitted to access. If your Microsoft 365 permissions are too broad, AI can make poorly protected information easier to find. Conditional Access is Microsoft\u2019s system for deciding who can sign in, from which device and under what security conditions.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Start with one repeatable workflow<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Do not begin with a 40-page AI governance policy that nobody reads. Choose one recurring meeting, such as a leadership meeting, customer delivery review or project steering committee, and apply the playbook for 30 days.<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Classify the meeting and confirm whether recording and transcription are appropriate.<\/li>\n<li>Use a standard agenda and state the expected decisions.<\/li>\n<li>Have Copilot or Facilitator prepare the recap.<\/li>\n<li>Ask the meeting owner to confirm decisions, owners and dates.<\/li>\n<li>Move approved actions into Planner or the nominated work system.<\/li>\n<li>Review overdue actions at the next meeting.<\/li>\n<li>Adjust the process before expanding it to other teams.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-paragraph\">This creates a controlled path from conversation to commitment.
