The problem is usually not that the AI model lacks intelligence. It is that the AI lacks enough context about your organisation, your role and the work currently happening around you.

Work IQ is not another chatbot or a new AI model. Whether Copilot uses a model from OpenAI or Anthropic, the model still needs accurate workplace information to produce a useful business answer.

Work IQ can draw on information stored across Microsoft 365, including SharePoint, OneDrive, Outlook and Teams. In practical terms, that can include documents, spreadsheets, emails, meeting transcripts and chat discussions.

Work IQ can help Copilot and authorised AI agents move beyond answering questions. Depending on the experience and controls in place, they can retrieve information, create content and support multi-step tasks across Microsoft 365.

This becomes particularly important for Copilot Cowork and other agent-based workflows, where AI may be asked to coordinate several steps rather than produce one response.

Employees need less prompt engineering

Without context, an employee may need to attach several documents and write a long explanation before Copilot can help. That extra effort is one reason AI adoption often drops after the initial excitement.

With Work IQ, someone can ask for a customer briefing and Copilot may identify relevant emails, meeting notes, proposals and recent project discussions that the person already has permission to view.

The business outcome is straightforward: less time gathering background information and more time reviewing useful work.

Answers reflect current business activity

Generic AI knows how to structure a project update. It does not automatically know that the deadline changed yesterday, the customer raised a concern in Teams or finance revised the forecast.

Work IQ helps Copilot bring those signals together. This can produce summaries and drafts that better reflect what is actually happening, reducing the risk of decisions being made from an outdated document.

Copilot can connect information across applications

Business knowledge rarely sits neatly in one place. A decision may start in a Teams meeting, be confirmed by email and later appear in a PowerPoint presentation.

Work IQ gives Copilot a better chance of connecting that information. Managers spend less time searching across applications, while employees avoid recreating work that already exists elsewhere.

Responses can be more relevant to each person

A sales director and a security manager asking about the same customer may need very different answers. Work IQ considers the userโ€™s role, working relationships and accessible content when assembling context.

This does not mean every response will be perfect. It means Copilot has a stronger foundation for producing an answer that matches the userโ€™s actual responsibilities.

A practical business scenario

Consider a 180-person professional services company preparing for a quarterly customer review. The account manager spends two hours searching Outlook, Teams, SharePoint and meeting notes before creating the first draft.

With a well-governed Copilot environment supported by Work IQ, the account manager could ask for a briefing covering recent commitments, unresolved issues, project milestones and upcoming decisions. Copilot could assemble a first draft from the information the manager is authorised to access.

If this saves even 60 minutes across 40 customer reviews each quarter, the company recovers 160 hours each year. The larger benefit may be consistency: fewer missed commitments, better-prepared meetings and less reliance on individual memory.

Permission-aware does not mean risk-free

Work IQ respects Microsoft 365 access controls. It does not give a user permission to open information they could not otherwise access.

However, it can make existing access easier to use. If an employee already has unnecessary access to an old SharePoint site, Copilot may be able to surface information from that site more quickly than the employee would find it manually.

That is why Copilot readiness starts with permissions and governance. Work IQ does not repair excessive sharing, missing sensitivity labels or poorly managed data ownership.

For Australian organisations, AI governance should sit alongside the Essential Eight, the Australian Governmentโ€™s baseline cybersecurity framework, as well as privacy and information-handling obligations. AI does not replace controls such as multi-factor authentication, patching and restricted administrator access.

What leaders should do before expecting better results

  1. Review access. Identify overshared SharePoint sites, Teams workspaces and OneDrive folders before expanding Copilot.
  2. Improve information quality. Archive obsolete files, define content owners and make important documents easier to identify.
  3. Choose measurable use cases. Start with activities such as meeting preparation, proposal drafting, policy research or project reporting.
  4. Set human review rules. AI-generated legal, financial, customer or security content should be checked by an accountable person.
  5. Monitor value and cost. Measure time saved, adoption, output quality and any usage-based agent costs rather than counting licences alone.

But the technology will magnify the environment it is given. Clean permissions, reliable information and clear governance turn Work IQ into a productivity advantage. Poor access controls and disorganised content limit its value and may increase risk.
